Workflows

Automations that run the busywork

A workflow waits for a trigger, reads your systems, lets Claude make the call, then acts.

How it works

Four steps. Judgment in the middle.

  1. Step 1: A trigger fires

A new lead, a finished job, or a nightly schedule.

  2. Step 2: It reads the systems

House Call Pro, QuickBooks, your inbox: only the records this run needs.

  3. Step 3: The AI step decides

Claude classifies, decides, and drafts, metered and cost-capped.

  4. Step 4: It acts and reports

Drafts the email, updates the record, sends you a summary.

Meet the automations

Three automations we built

  • Warranty renewal pipeline

Turns the free first-year warranty into a paid renewal, on schedule.

    How it stays safe

Email only. Customers who do not renew are handed to a person.

    Text rep

    AI lead response

Answers every new lead in your voice before it goes cold.

    How it stays safe

The reply lands as a Gmail draft for a person to send.

  • Photo and invoice sender

Sends each customer their invoice and job photos at day's end.

    How it stays safe

Gmail drafts by default. Email only.

AI lead response

Claude reads every new lead, classifies it, drafts a reply, then fans out to Gmail, House Call Pro, and a text to the on-call rep.

Press Test run to walk every step.

297 / 800

Edit it or paste your own before running. This is the text the AI step reads.

Sample data

The company, people, customers, and job numbers are fictional. Only the Claude step in “AI lead response” calls a model. Every other step is simulated and labeled that way, which is also how unconnected apps appear in the real product.

Safeguards

Honest about what it touches

  • The AI step really runs

Metered to a cost cap, with incoming text treated as data, never instructions.

  • Email only, no voice calls

We never place an AI voice call to a customer.

  • Drafts by default

Steps that reach the outside world prepare a draft and leave the send to you.

FAQ

Questions that come up

The Claude step runs for real, metered and capped. Gmail and Calendar run through a real connection and draft by default; other apps are simulated and labeled until we wire them.

A wrong draft is one you fix or delete, not a message that went out. The run log shows which step produced what.

Yes. Open the diagram, press Test run, and click any step to see what it touched and what it produced.

Book a call

A 30-minute call and a written recommendation naming each step and where a person stays in the loop.
